2. Information We Collect on This Website
- Checklist & Inquiry Submissions: When you request our Operations Data Readiness Checklist or contact us, we collect your name, work email address, company name, job title, and inquiry context solely to deliver the requested resource, respond to your inquiry, and evaluate potential consulting engagements.
- Discovery Call Scheduling: When you book a call via Calendly, you provide your name, email address, time-zone and meeting notes to coordinate calendar invitations and video-conferencing links.
- Minimal Form & Hosting Telemetry: Our form provider (Zoho CRM) and static edge host (Netlify) log standard HTTP request metadata and form-submission analytics to prevent automated spam and ensure form delivery. We do not sell, rent, or broker contact lists.
3. Service Providers Outside Canada (Alberta PIPA s. 13.1 Notice)
In accordance with Section 13.1 of Alberta’s Personal Information Protection Act, please note that SMACD Solutions uses third-party cloud infrastructure to operate this website and manage business inquiries:
- Zoho Corporation (Canada Data Centre —
zohocloud.ca/zohopublic.ca): Processes web-to-lead checklist requests and CRM records primarily in Canada, with global operational redundancy as documented by Zoho. - Calendly LLC (United States): Processes scheduling details in the United States solely to book and manage requested discovery calls.
- Netlify, Inc. (United States & Global CDN): Serves static website pages and standard connection logs across edge servers in Canada and the United States.
Where personal information is processed or stored outside Canada (including in the United States), it may be subject to the laws of that jurisdiction and lawful access requests by courts, law enforcement, or regulatory authorities there. Contact our Privacy Officer above for written details on our vendor policies and safeguards.
4. Commercial Electronic Messages (CASL)
We comply with Canada’s Anti-Spam Legislation (CASL). When you request our checklist or submit a business inquiry, we send the requested material and, where permitted under CASL’s inquiry/business-relationship rules, limited relevant follow-up. Every commercial electronic message identifies SMACD Solutions Inc. and provides an immediate unsubscribe mechanism (or you may reply “Unsubscribe” to philip@smacdsolutions.ca at any time, honoured within 10 business days or sooner).
5. How We Handle Client Operational Data During Engagements
Client diagnostic proofs, integrations, and AI workflows are governed by a separate written Statement of Work (SOW) and Confidentiality / Data-Processing Agreement before any operational files are shared:
- Least-Privilege & Offline Proofs: Sample-data proofs operate on anonymized or minimum-necessary static exports wherever possible.
- Data Residency & Model Isolation: Where required by client policy or PIPA, pipelines are deployed inside the client’s own cloud tenant or Canadian cloud regions, using enterprise/API configurations that prohibit third-party foundation models from training on client data.
- Retention & Secure Destruction: Sample files and temporary credentials provided for diagnostics are securely deleted upon project completion or client request in accordance with written SOW retention terms.
- Incident Response: We maintain incident-escalation procedures and support mandatory breach-notification obligations under Alberta PIPA where any real risk of significant harm arises.
6. Access, Correction & Retention
Business contact records are retained only as long as reasonably required for active client relationships, inquiry follow-up, or legal/tax recordkeeping, after which they are securely deleted or anonymized. You may request access to, correction of, or deletion of your personal information at any time by emailing philip@smacdsolutions.ca.
